Game OVR - Ozarks VR: Weekly VR Golf League Official Rules & Regulations

1. League Overview
Company: Game OVR - Ozarks VR
Game: All league play will be conducted using the GOLF+ application on Meta Quest 3 headsets provided by Game OVR - Ozarks VR.
Seasons: Leagues run in two (2) 12-week seasons annually:
Season 1: October - December
Season 2: January - March
League Capacity: There will be a maximum of six (6) distinct leagues running concurrently each season.
League Size: Each league will consist of 8 registered participants (League Members).
Weekly Gameplay Groups: For weekly play, each 8-person league will be divided into two (2) groups of four (4) players. These groups will tee off concurrently within the GOLF+ platform, which accommodates a maximum of 4 players per lobby.
Schedule: Leagues play on Tuesday, Wednesday, or Thursday evenings, with two (2) league time slots available per night:
Tuesday: 4:00 PM - 6:00 PM (League #1), 7:00 PM - 9:00 PM (League #2)
Wednesday: 5:00 PM - 7:00 PM (League #3), 8:00 PM - 10:00 PM (League #4)
Thursday: 6:00 PM - 8:00 PM (League #5), 9:00 PM - 11:00 PM (League #6)
2. Eligibility & Registration
Eligibility: Leagues #1, #2, #3, and #5 are open to individuals aged 15 and above. Participants under 18 must have a parent/guardian present at headset pickup/delivery and have a waiver signed by a parent/guardian. Leagues #4, and #6 are 18+ Only.
Registration: All League Members must register online via the Game OVR - Ozarks VR website. Registration is complete upon payment of the League Entry Fee and agreement to all terms and conditions, including the Equipment Policy and Liability Waiver.
League Placement: Game OVR will assign League Members to specific leagues/time slots based on registration order and availability. Requests for specific groups (e.g., all 8 members of a pre-formed league, or specific 4-person groups) must be submitted during registration and will be accommodated if possible. All fees must be paid before these special accommodations can be confirmed.
Entry Fee: A non-refundable League Entry Fee of $120.00 is required per participant, per 12-week session.
Weekly Play Fee Options:
Pay-as-you-go: $15.00 per participant, per play day. (only pay for weeks you play)
Payment is due prior to headset pickup/delivery for that week's session.
Upfront Session Pass: $120.00 per participant for the full 12-week session. This must be paid in full at the time of registration.
This option offers a discounted rate equivalent to $10.00 per play day, which is a savings of $60 for the year.
Payment: Game OVR - Ozarks VR accepts the following payment types(Cash, Venmo, Zell, or PayPal)
3. Equipment Usage & Responsibility
Provided Equipment: Game OVR will provide each League Member with a Meta Quest 3 VR Headset, Meta Quest 3 Touch Plus Controllers, necessary charging cables/adapters, and a carrying case.
Headset Access: League Members must select their preferred headset access method (pickup or delivery) during registration.
Pickup: Headsets must be picked up from the Game OVR - Ozarks VR business location during designated hours.
Delivery/Pickup Service: An additional $20.00 fee per instance applies for headset delivery to and pickup from the League Member's location. Delivery/pickup times will be coordinated weekly.
Equipment Policy: All League Members must adhere strictly to the Game OVR - Ozarks VR Equipment Policy. This policy covers proper handling, care, and financial responsibility for damaged, lost, or stolen equipment. Failure to comply may result in suspension or removal from the league. Legal action will be taken on any lost or stolen equipment that is not reimbursed to Game OVR - Ozarks VR at the following rates:
Cost of Lost or Stollen equipment: (Total Loss: $1,040.00)
Headset: $575.00
Controllers: $90.00 (each)
S3 Pro Battery Strap: $120.00
B100 Battery Pack: $60.00 (each)
Carrying Case: $55.00
Charging Dock: $55.00
Other Accessories: $25.00 (each)
4. Gameplay Rules & Format
Game: All official league rounds must be played using the GOLF+ application.
Course Selection: The designated 18-hole course for each week will be announced by the League Coordinator no later than Friday of the preceding week.
Playing Your Round:
League Members within the same 8-person league are responsible for coordinating their 4-player gameplay groups and starting their weekly round within their league's assigned 2-hour time slot. Gameplay groups will be assigned by Game OVR management, but groupings can be switched if league members agree on alternative groupings. If their is disagreement among the league members, the originally assigned groups are mandatory.
Each group of 4 players must play on the same golf course under the exact same conditions (e.g., same tees, wind settings, time of day, etc.). Any changes to these settings must be agreed upon by all 8 players in the league as well as Game OVR management.
All 18 holes of the designated course must be completed in one continuous session.
Players must use their assigned headset and account for all official league rounds.
Pace of Play: Maintain a reasonable pace of play to ensure all group members can complete their rounds within the allotted time slot.
Fair Play: Any form of cheating, hacking, or unsportsmanlike conduct (e.g., intentionally disrupting another player's game, misrepresenting scores) will result in immediate disqualification and expulsion from the league, without refund. Game OVR reserves the right to review gameplay recordings to ensure fair play.
5. Score Submission & Standings
Score Submission: Upon completion of their weekly round, each League Member must submit a screenshot of the final 18-hole in-game scorecard showing all group members’ scores to the League Coordinator via the dedicated Game OVR - Ozarks VR League Score Submission Form on our website ([Your Website Link to Score Submission Form]) no later than 30 minutes after the round is completed for that week.
Scoring: The lowest gross score for the designated 18 holes will determine weekly standings within each 8-person league.
Leaderboard: An official league leaderboard, displaying individual weekly and season-to-date standings for all 6 leagues, will be updated and published on the Game OVR - Ozarks VR website by Saturday, 5:00 PM CDT each week ([Your Website Link to Leaderboard Page]).
League Season Winner: The League Member with the lowest cumulative score across all 12 weeks will be crowned the Season Champion for their respective league. (Details on final tie-breakers will be provided in the Welcome Packet).
Overall Season Champion: The 8 League Members with the lowest cumulative scores across all 6 leagues and all 12 weeks will play in an 8 man tournament at the end of the season to crown the overall Season winner, and will win $250.00
6. Weekly Payouts & Prizes
Group Winner Payout:
For each of the two (2) 4-player groups within every 8-person league, the golfer with the lowest score for that week will receive a $5.00 cash prize.
(Total of 12 weekly winners. Payout per Week for Group Winners: 6 leagues x 2 groups/league x $5/group = $60.00)
In case of a tie for the lowest score within a group, the $5.00 prize will be split evenly among tied players.
Closest To The Pin (CTP) Prize:
For each of the two (2) 4-player groups within every 8-person league, the golfer closest to the pin on designated par 3 courses, will receive a $2.50 Closest to the Pin (CTP) cash prize.
To be eligible for the CTP prizes, the golfer must hit their tee shot and land on the green in one shot.
Eligible CTP Holes:
If the designated course has three (3) or more Par 3s, the first and last Par 3 holes on that course will be designated for CTP contest.
If the designated course only has two (2) Par 3s, both holes will be designated for CTP contest.
If the designated course has only one (1) Par 3 hole, that single Par 3 will be designated for CTP contest.
If the course has no Par 3s, no CTP prize will be available for that week's league.
The golfer whose tee shot lands closest to the pin on the designated CTP hole(s) for their 4-person group wins $2.50 per eligible hole.
In the event of a tie for CTP distance, the $2.50 prize will be split evenly among tied players for that hole.
League Members are encouraged to take a screenshot of their ball position relative to the pin for CTP submission, along with their score.
7. Absences & Make-Up Games
Absences: League Members are expected to complete their round each week. If a League Member cannot play during their scheduled time slot, they must notify the League Coordinator at least 24 hours in advance. League manager will coordinate moving players to different groups if necessary.
Make-Up Games: Make-up opportunities may be available at the league coordinator’s discretion (subject to headset availability and League Coordinator approval. All make-up rounds must be completed by Sunday, 11:59 PM CST of the same week as the original scheduled round.) Make-up opportunities are only afforded to those players who notify the league coordinator ahead of time and with a valid reason (subject to league coordinator’s judgement) Failure to complete a round will result in a score of (worst score in the league for that week, plus 9) for that week.
8. League Communication
All official league communication will be conducted via email and the designated league platform/messaging app. League Members are responsible for regularly checking these channels for updates, schedule changes, and announcements.
9. Disciplinary Actions & Refunds
Violations: Violations of these rules, the Equipment Policy, or instances of unsportsmanlike conduct may result in disciplinary action, ranging from warnings to suspension or expulsion from the league, at the league coordinator’s discretion.
Refunds: League Entry Fees are non-refundable. Weekly play fees (pay-as-you-go) are only charged for rounds played. Upfront Session Pass fees are non-refundable after the first week of play, except in documented extenuating circumstances at the sole discretion of Game OVR management.
10. Amendments to Rules
Game OVR - Ozarks VR reserves the right to amend these rules and regulations at any time to ensure fair play, optimize operations, or adapt to game updates. All League Members will be notified of any changes via official league communication channels.
